NYC Wedding Transportation — The Planner's Full Playbook
Wedding transportation in New York City is a logistics problem wrapped in an emotional day. Six pickup points, four vehicles, weather, Manhattan rush-hour that can double a 2-mile drive, and a bride who cannot be 10 minutes late. Here is how to plan it properly so nothing goes sideways on the wedding day.
The four vehicles most NYC weddings book
Vehicle 1: Couple transport. Mercedes S-Class ($150/hr, 2-hour minimum) or stretch limousine ($200/hr, 3-hour minimum). 85% of Manhattan couples choose the S-Class for its quieter arrival; stretch limos are more popular on Long Island and Westchester.
Vehicle 2: Bridal party. Mercedes Sprinter van ($175/hr, 3-hour minimum). Fits 10–14 people — bridesmaids, groomsmen, and one extra person for the inevitable hairstylist retrieval.
Vehicle 3: Parents / family. Cadillac Escalade ESV ($125/hr, 2-hour minimum). 6 passengers, plenty of luggage space, better than a sedan for the parents.
Vehicle 4: Guest shuttle. 30 or 40-passenger party bus ($325–$400/hr, 4–5 hour minimum). Runs a loop from ceremony → reception → hotel block.
Typical NYC wedding-day timeline with transport
10:00 AM: Sprinter picks up bridesmaids at hair stylist → brings to bride's getting-ready location.
1:30 PM: S-Class arrives at bride's location. 15-minute buffer built in.
2:15 PM: S-Class departs for ceremony venue. Chauffeur is already pre-briefed on the address and alternate routes.
2:30 PM: Ceremony venue arrival. Bridal party Sprinter arrives separately at 2:00 PM so they are ready for the processional.
3:30 PM: Ceremony ends. First-look photos or group photos at a nearby park (Central Park, Prospect Park, or the ceremony venue grounds).
5:00 PM: Couple's S-Class + bridal party Sprinter drive to reception venue. Guest shuttle party bus begins its first loop from ceremony → reception.
11:00 PM: Reception ends. Couple's S-Class runs the send-off. Guest shuttle runs the final loop to hotel block.
How to price a full NYC wedding day
Small Manhattan wedding (couple + 8 bridesmaids/groomsmen + 40 guests): S-Class 5 hours at $750, Sprinter 5 hours at $875, 30-passenger shuttle 4 hours at $1,300. Total: $2,925 + gratuity + tolls.
Mid-size Brooklyn wedding (couple + 12 wedding party + 80 guests): S-Class 5 hours at $750, Sprinter 5 hours at $875, 40-passenger shuttle 5 hours at $2,000. Total: $3,625 + gratuity + tolls.
Large Long Island wedding (couple + 20 wedding party + 150 guests): Stretch limo 5 hours at $1,000, 2 Sprinters 5 hours at $1,750, 2× 40-passenger shuttles 5 hours at $4,000. Total: $6,750 + gratuity + tolls.
Gratuity customary at 18–20% of base. Tolls (GWB $18.52 peak, Lincoln Tunnel same, Verrazzano-Narrows $19.06) are passed through.
Ceremony-to-reception buffer rules
Build 30 minutes of buffer into every transition. A Manhattan ceremony that ends at 3:30 PM should have reception doors opening at 5:00 PM minimum — not 4:30 PM — because Manhattan crosstown takes 25–40 minutes mid-afternoon.
Bridge-and-tunnel transitions need 45 minutes minimum. Manhattan ceremony to Brooklyn reception means BQE traffic, which is an unpredictable mess on any weekend.
Photography time is the most compressible part of the day. Plan for 90 minutes of post-ceremony photos; if something runs late, the photography block absorbs the buffer without delaying the reception.
Rain-day protocols
Chauffeurs carry umbrellas in every wedding vehicle. Rain-day ceremonies trigger: pickup at the interior hotel lobby entrance (not the street), dedicated curbside staging at the ceremony venue interior, and umbrellas held over the couple from door to door.
Photography often shifts indoors on rainy days. The wedding party Sprinter may need an extra 20 minutes between photo locations if the couple relocates to an indoor backup.
Outdoor weddings that shift to indoor spaces due to rain: we rebuild the vehicle schedule within 2 hours of the change. No rebooking fee.
